How to keep selling when the internet goes down
Short answer
Use a point of sale that saves sales on the device when the connection drops and syncs them later, and prepare each till by opening it online once so it has your products and prices. While offline, take cash and card as normal, only release goods for transfers once you see the bank alert, and when you are back online check that everything synced and resolve anything flagged.
Why it matters
For many shops a lost connection is a normal part of the week: the network is congested at the market, data runs out at the worst moment, or the router goes off when the generator takes over. If the till stops when the internet stops, you either turn customers away or go back to writing sales in a notebook, and those sales then have to be typed in later, if anyone remembers.
An offline-capable POS removes that gap. Sales keep being recorded properly, with receipts and stock changes, and reach your records once the connection returns.
Prepare each till before you need it
- 1
Open the POS online on every device
Each phone, tablet or laptop you sell from needs to download your products, prices and stock once while online. In StockỌja this happens automatically when the POS opens.
- 2
Stay signed in
Offline selling works for the cashier who is signed in on that device. Do not sign out at closing if the next day may start without a connection.
- 3
Refresh after big changes
After changing many prices or adding new stock, open the POS online again so the device has the latest list. StockỌja shows how long ago products and prices were downloaded.
- 4
Keep the basics charged
A charged phone or power bank and a cash float matter more than the network when the light goes off.
While you are offline
Keep selling as normal, with a few habits for payments you cannot confirm online:
| Payment | What to do offline |
|---|---|
| Cash | Sell as normal. The till works out the change. |
| Card on your terminal | Terminals often have their own connection. Wait for the approved slip before completing the sale. |
| Bank transfer | Record the sale, but release the goods only after you see the credit alert. A screenshot is not proof. |
| Split | Record each part with its method, as you would online. |
In StockỌja, each offline sale shows "Sale saved on this device" with its own receipt, and the stock on screen goes down straight away. Coupons, held sales, voids and adding new customers wait until you are back online.
When the connection comes back
Good offline systems sync on their own. StockỌja checks every 20 seconds and whenever it notices the connection is back, then sends each sale exactly once, with the time it was really sold, so your daily figures stay correct. Offline sales then get their normal receipt numbers.
Afterwards, open the sync status and check two things: that nothing is still waiting, and whether anything needs attention.
If something needs attention
The most common case is two tills selling the last unit of a product while both were offline. When they sync, the first sale takes the stock and the second is flagged instead of pushing your stock below zero. Count the item, correct the stock if needed, then press Try again. If a sale was entered twice by mistake, choose not to sync it: it stays on the device marked as not synced, so nothing is ever deleted silently.
A price that changed in the office while the till was offline is handled fairly: the customer paid the shelf price the till showed, so that price is kept.
More than sales
Other everyday work can carry on too. In StockỌja you can record expenses, adjust stock after a delivery or a breakage, and record returns for sales made on that device while offline. They sync the same way as sales. See the POS and inventory management pages for the rest of the picture.
Questions
Can I accept a bank transfer while my internet is down?
You can record it, but only hand over the goods once you have seen the credit alert, by SMS from your bank or on another phone that has data. A screenshot from the customer is not proof of payment.
What happens to offline sales if I close the browser?
In StockỌja they stay saved on the device and sync the next time the app is open and online. Signing out warns you if sales are still waiting, because they sync under the cashier who made them.
