POS vs inventory management software: what is the difference?

Short answer

Point of sale (POS) software records sales at the counter: items, prices, discounts, payments and receipts. Inventory management software tracks the stock itself: how much you have, where, and when to reorder. They depend on each other, because every sale changes stock, so most shops are best served by one system that does both.

First, three things called "POS"

The word POS is used for different things, which causes confusion:

  • POS software: the app where you ring up a sale, take payment and issue a receipt.
  • A POS terminal: the card machine from a bank or payment provider. It takes card payments but does not know what you sold.
  • A POS agent business: a person offering cash withdrawals and transfers with a terminal. That is a separate trade altogether.

This guide is about POS software, and how it relates to a card terminal and to your stock.

What POS software does

  • Find products by search or barcode and build a cart.
  • Apply discounts and coupons.
  • Take payment by cash, card (on a terminal), transfer, or a mix.
  • Print or send a receipt.
  • Keep a history of sales, returns and voids.

What inventory management software does

  • Hold the list of products, variants, prices and cost prices.
  • Track quantity per location, including stock held for online orders.
  • Record deliveries, transfers and adjustments.
  • Warn when items reach their reorder level.
  • Value the stock you hold.

Why they belong together

If your POS and stock are separate, someone has to copy sales across, or stock drifts. Every sale is also a stock movement, so the simplest and most accurate setup is one system where completing a sale reduces stock in the same step. That also makes profit visible, because the system knows both the selling price and the cost price of what sold.

StockỌja is built that way: the POS, inventory, online store and reports share one record.

Where the card terminal fits

Keep using your bank’s terminal for card payments. In the POS software, choose Card as the payment method when the customer pays on the terminal, and optionally type the slip number as a reference. At closing, the card total in your POS should match the terminal’s settlement report. The same goes for transfers against bank alerts and cash against the drawer.

Try it on your own stock.
