Product management
One product catalogue for the shop, the till and the online store.
Add a product once, with its variants, photos, prices and codes, and it is ready everywhere: on the shelf in every branch, at the point of sale and in your online store. Change a price and it changes in all three.
At a glance
Categories and brands
Nest categories the way you shelve things, and tag products by brand.
Variants with their own codes
Each size or colour has its own SKU, barcode, price and stock.
Cost and selling price
Record both, see your margin and the value of the stock you hold.
Photos for selling online
Add images once; they appear on the POS tiles and in the online store.
Per-store settings
Different price or visibility for a branch, without duplicating the product.
CSV import
Bring a whole catalogue in from a spreadsheet, opening stock included.
Why the catalogue comes first
Everything else depends on clean product data. If the same phone case is written three different ways, stock counts split, reports mislead and the online store looks untidy. A good catalogue has one entry per product, clear variants, and the codes and prices that the till and the store need.
Setting up products in StockỌja
- 1
Create categories
Start broad (Phones, Accessories) and add sub-categories where they help shoppers and reports.
- 2
Add a product
Name, category, brand, description, photos, selling price, cost price and low-stock level.
- 3
Add variants if it comes in options
For example Colour: Black, Clear, Leather, each with its own SKU, barcode, price and stock.
- 4
Choose where it sells
Visible in the online store or counter-only, and any branch-specific price.
Importing from a spreadsheet
If your products already live in Excel or Google Sheets, export them as CSV and import them. StockỌja reads names, SKUs, barcodes, categories, brands, selling and cost prices, low-stock levels and opening stock (up to 2,000 rows at a time), and tells you which rows need fixing before anything is saved. Add variants to imported products in the app. Our guide on managing inventory without Excel covers cleaning a sheet before you import it.
SKUs and barcodes
A SKU is your own short code for an item, such as CASE-BLK for a black phone case. A barcode is the code printed on the packaging. StockỌja uses both: search by SKU at the till, scan the barcode with a scanner, and see them on every report. For shops with many similar small items, like phone accessories, this is what makes selling fast.
Questions
How many products can I add?
It depends on your plan: 50 on Hustle (free), 500 on Scale and 5,000 on Thrive, with custom limits on Empire. See pricing.
Can different branches charge different prices?
Yes. Products share one catalogue, and you can set a different price or hide a product for a particular store.
What should go in a variant and what should be a separate product?
If customers think of it as the same item in different sizes, colours or lengths, use variants. If it is a different item with its own description and photos, make it a separate product.
Do I need barcodes?
No, but they help. Products without barcodes are found by name or SKU. If you use a scanner, add the barcode printed on the packaging and scanning adds the item straight to the cart.
